    CheckoutSmart values your privacy and is dedicated to safeguarding and preserving your privacy when using our application, visiting our website or communicating electronically with us.

    This Member Privacy Policy, together with our Terms & Conditions, and the CheckoutSmart Account Holder Agreement explains:

    Information we collect from you

    We collect information from you in order to provide our service and to show you the offers we think will be most relevant for you and to give you the best possible service when using CheckoutSmart.

    We collect and process the following information:

    Registration information

    When you download CheckoutSmart or seek to claim an offer for the first time, we ask you to register and to provide us with personal information including but not limited to the following:

    • Your Email address or Facebook id (depending on your chosen sign up method)

    Other personal information about you is optional to provide, for example any demographic data (age, gender, occupation, interests etc) which you may choose to provide in connection with another CheckoutSmart offering.

    We use this information to better personalise our service for you. We will never rent, sell or share your personal information with any other company for its own marketing purposes without your clear additional consent.

    Information you provide on our partners' websites

    You may find links in our app or website to third party websites. These websites should have their own privacy policies that you should check. We do not accept any responsibility or liability for their policies whatsoever as we have no control over them.

    Your redemption information

    When you use CheckoutSmart we will collect information about how you use our site and application. For example, when you redeem an offer we’ll record details of the offer, the date and time, the retailer and items purchased, and the device you’ve redeemed it on. We’ll use this information to personalise the offers we show you in future and to prevent fraudulent or abusive use of our service.

    Your location information

    When you use our application, we may ask to receive your location data. We’ll use this to show you the offers that are near you or occasionally remind you to use CheckoutSmart. If agree to this depending on your handset or the network you subscribe to, CheckoutSmart may automatically receive this information. This data collection can be controlled in the app settings section of your phone.

    Your chosen form of payment method

    When you use our application and website to request a payment from us, we will request details of the destination account (Bank/PayPal) into which payment is to be made. We hold this information in encrypted form for future payments.

    Cookies and similar technologies

    We use a range of technologies to gather information regarding your activities while you are on our website and application. We may also gather information about your general internet use by using a cookie file. A cookie file is a small text file that is automatically downloaded to your computer when you visit our site. This cookie file is stored on the hard drive of your computer as cookies contain information that is transferred to your computer's hard drive. They help us to improve our website and the service that we provide to you.

    All computers have the ability to decline cookies. This can be done by activating the setting on your browser that enables you to decline the cookies. Please note that should you choose to decline cookies the website may not work as expected for you.

    Third Party Cookie sharing

    We may also work with third parties to place a cookie on your browser that provides a de-identified, non-human readable version of your email address to use for matching to other data about you to improve the relevance of online advertising and personalisation.

    Your actual email address is at no time shared with third parties without your consent.

    Our legal basis for processing your data

    The legal basis for the processing of your personal data is to deliver the contract between us (ie to process your claims and pay your rewards), with your specific consent or any other applicable legal basis, such as our legitimate interest in engaging in wider commerce and offering products and services of value to you.

    We may for example use the products and prices on your receipt with those from other members to provide us with an understanding of the performance of an offer. The better we can understand offer performance, the more offers we are to be able to get for you from brands.

    Any consent you provide may be withdrawn at any time by contacting us at help@checkoutsmart.com or for marketing communication via links in such communication (email) or via your mobile phone settings (app notifications).

    How your personal data is used / processed

    General Purposes

    When you join CheckoutSmart your personal data will be collected, processed, stored and used by us and other companies within our group to provide customer support, process payments we make to Account Holders, and for other purposes referred to in this Privacy Policy, the CheckoutSmart Account Holder Agreement and any other agreements that Account Holders may have with us.

    To communicate with you

    One of the main ways we use your information is to let you know about our offers and other promotions you might be interested in through email and push / other types of notifications.

    Emails

    Once you become a CheckoutSmart member you choose to receive emails letting you know about our offers. We may also send you other offers from our partners that we think you might be interested in. If you don’t wish to receive emails from us later, you can click the ‘unsubscribe’ link that will be found at the bottom of all emails from CheckoutSmart.

    Push notifications

    These will be general notifications about our latest offers and location-based messages when you are near a venue or shop with an offer. Notifications can be controlled in the settings section of the app, location based messages are controlled in your settings section on your phone.

    Directly communicating with CheckoutSmart

    When you send email or other communication to CheckoutSmart directly, we may retain this communication in order to serve you in the future.

    To personalise the content you receive

    By collecting data on your activities on our website and application we’ll be able to better understand the types of offers that you’re interested in. We’ll then present the most relevant offers for you on our website, application and through the communications we send you.

    Our offer Personalisation is usually based on the data shown on your uploaded receipts, including both the products you claim for and other items on your receipt. We may also include information such as whether you have favourited an offer or shown some other interest in such as watching a video.

    For example, this may tell us that you buy the butter category or that you like PG Tips leaf tea. Where offers are limited, this information helps us direct the most relevant ones to you.

    To provide a better experience

    Our use of cookies and other similar technologies enables us to remember information about you when you visit our site. We may use this to improve your experience by doing things like remembering your password, automatically logging you into your account and showing you adverts for offers that you’ve previously searched.

    To provide insight

    Our use of technologies, including Google Analytics, enables us to gather statistical information about how people use our site and application. As well as using this to improve what we do, we also share it with the brands we work with to give them feedback.

    The information we share will never identify you personally; it is statistical data and does not identify any personal details whatsoever.

    How we store your information

    All personal data is stored securely in accordance with the current legislation. We will retain your personal data for only as long as is permitted for legal, regulatory, taxation and fraud prevention purposes. Unless we are legally required to do so, your data will not be disclosed to third parties.

    Where applicable, we may disclose your personal information to any member of our group. This includes, where applicable, our affiliates, our subsidiaries, our holding company and/or other companies within our group.

    Information security

    We have taken considerable operational, physical and technical steps to safeguard and secure the information we collect from our users and store on our servers.

    How long we retain your data for

    There are certain reasons that we have to keep hold of some of your information. Naturally we keep your information while you are registered with us so that we are able to provide the service to you, but we also keep it after you've left us, though only for as long as we need it.

    How long we keep it depends very much on the type of information we are holding and the purpose for which we need it. We also have to take into account our legal obligations in respect of how long we keep your data. Once we believe your personal data is not needed, it will be permanently deleted.

    You can request that we delete your personal information associated with your account at any time by contacting us at help@checkoutsmart.com and asking us to close your account and delete the linked personal data. Limited personal data may still be retained for legal and fraud prevention purposes.

    Relationship with the CheckoutSmart account holder agreement

    Words and phrases used in this Privacy Policy have the same meaning as is attributed to them in the CheckoutSmart Account Holder Agreement.

    Any changes to it will be made in accordance with the CheckoutSmart Account Holder Agreement.

    Individuals rights and how to exercise them

    Individuals have certain rights over their personal data and data controllers are responsible for fulfilling these rights. Where we decide how and why personal data is processed, we are a data controller and include further information about the rights that individuals have and how to exercise them below.

    Access to personal data

    You have a right of access to personal data held by us as a data controller. This right may be exercised by emailing us at help@checkoutsmart.com. We may charge for a request for access in accordance with applicable law. We will aim to respond to any requests for information promptly, and in any event within the legally required time limits.

    Amendment of personal data

    To update personal data submitted to us, you may email us at help@checkoutsmart.com. When practically possible, once we are informed that any personal data processed by us is no longer accurate, we will make corrections (where appropriate) based on your updated information.

    Withdrawal of consent

    Where we process personal data based on consent, individuals have a right to withdraw consent at any time. We do not generally process personal data based on consent (as we can usually rely on another legal basis). To withdraw consent to our processing of your personal data please email us at help@checkoutsmart.com or, to stop receiving a marketing email from us, please click on the unsubscribe link in the relevant email received from us. Even after withdrawing your marketing consent, you will still receive emails and other notifications to allow us to fulfil our contractual obligations eg Receipt processing and Payment notifications.

    Other data subject rights

    This privacy statement is intended to provide information about what personal data we collect about you and how it is used. As well as rights of access and amendment referred to above, individuals may have other rights in relation to the personal data we hold, such as a right to erasure/deletion, to restrict or object to our processing of personal data and the right to data portability. Some of these rights will only be available from 25/05/2018.

    Complaints

    We hope that you won’t ever need to, but if you do want to complain about our use of personal data, please send an email with the details of your complaint to help@checkoutsmart.com. We will look into and respond to any complaints we receive.

    You also have the right to lodge a complaint with the Information Commissioner's Office (“ICO”) (the UK data protection regulator). For further information on your rights and how to complain to the ICO, please refer to the ICO website (www.ico.org.uk).

    Changes to this policy

    CheckoutSmart reserves the right to change or modify this Privacy Policy. If we change this Privacy Policy, you will be notified of any significant changes.
